BUSINESS CONTEXT & PROBLEM

The Operational Challenge

Organizations operating physical facilities face recurring workforce friction when managing physical biometric hardware. Attendance logs remain trapped on terminal flash memory or require manual USB thumb-drive exports; proprietary desktop tools are limited to single offline machines; and complex rotational and overnight shifts are compiled manually in spreadsheets, leading to calculation discrepancies and overtime disputes.

Facilities needed a real-time, on-premise bridge between physical ZKTeco biometric terminals and an accessible operational web dashboard without transferring biometric records to multi-tenant cloud servers.

1

Manual extraction bottleneck: Attendance records remained on terminal storage until physically pulled via USB flash drives, delaying daily shift tracking.

2

Shift calculation errors: Rotational, overnight, and split shifts generated recurring formula mistakes around grace periods and overtime multipliers.

3

Zero frontline visibility: Employees had no self-service mechanism to verify recorded punches, check timesheet hours, or submit leave requests.

4

Strict data sovereignty mandates: Security policies required 100% on-premise data residency on company-owned PostgreSQL servers behind local firewalls.

CORE REQUIREMENTS & CONSTRAINTS

Autonomous on-premise operation over local network infrastructure, seamless compatibility with existing ZKTeco hardware, and uninterrupted punch capture during internet outages.

Direct compatibility with ZKTeco ADMS (ICLOCK) push protocol and standalone connection (port 4370).
100% on-premise storage on local PostgreSQL 14+ database without external data dependencies.
Continuous punch recording and buffer synchronization during WAN internet outages.
Multi-tiered role-based access control safeguarding sensitive employee workforce records.
SYSTEM ARCHITECTURE

System Architecture

A multi-tier architecture separating high-throughput asynchronous hardware ingestion from transactional relational storage and responsive web clients.

LAYER 01

Hardware Ingestion Gateway (ADMS Gateway & Port 4370)

Asynchronous FastAPI service daemon listening for real-time HTTP biometric push packets and socket events from ZKTeco devices.

LAYER 02

On-Premise Relational Core

Normalized PostgreSQL 14+ database with automatic migrations, maintaining immutable punch records, employee rosters, and shift schedules.

LAYER 03

Deterministic Rules Engine

Automated evaluation service that pairs IN/OUT punches, evaluates grace periods, and calculates standard and overtime hours.

LAYER 04

Web Management Console

Browser dashboard providing live punch monitoring, department analytics, shift configuration, and scheduled CSV/PDF reporting.

LAYER 05

Employee Self-Service (ESS)

Mobile-friendly browser portal allowing staff to inspect personal timesheets, punch timestamps, and submit digital leave requests.

DELIVERY SCOPE

What We Engineered

ADMS Biometric Push Protocol Ingestion

CAPABILITY

Real-time hardware punch capture from ZKTeco biometric terminals over the ADMS (ICLOCK) protocol.

PROBLEM ADDRESSED

Replaces manual physical flash-drive extractions and batch polling delays.

TECHNICAL IMPLEMENTATION

Asynchronous Python 3.11 / FastAPI daemon handling continuous terminal connections via ADMS push endpoints and socket listener with an offline punch reconnect buffer.

Practical Value: Punches appear in the web feed seconds after scanning face, fingerprint, RFID, or palm.
Scope: ZKTeco biometric terminals supporting ADMS firmware or standalone network routing.

On-Premise Relational PostgreSQL Database

CAPABILITY

Local storage and indexing of workforce attendance and access logs within customer server infrastructure.

PROBLEM ADDRESSED

Supports organizational data governance and privacy policies by keeping attendance records within company server custody.

TECHNICAL IMPLEMENTATION

Local PostgreSQL 14+ database with automatic schema migrations and encrypted credential storage via Windows DPAPI.

Practical Value: Complete customer data sovereignty and zero recurring database hosting fees.
Scope: Windows Server 2016+ or Windows 10/11 Pro host machine.

Rotational & Overnight Shift Calculation Engine

CAPABILITY

Configurable shift evaluation supporting rotational, overnight, split, and flex shifts with grace rules.

PROBLEM ADDRESSED

Reduces manual spreadsheet calculation errors, disputed grace minutes, and manual overtime adjustments through automated evaluation.

TECHNICAL IMPLEMENTATION

Deterministic calculation processor pairing punch sequences against shift definitions, computing early/late departures and overtime.

Practical Value: Delivers payroll-ready attendance hours and exportable CSV and formatted PDF reports.
Scope: Configured shift schedule templates.

Role-Based Governance & Administrative Audit Trail

CAPABILITY

Granular role permissions (Super Admin, Admin, HR, Finance, Employee) with an immutable audit log.

PROBLEM ADDRESSED

Prevents unauthorized punch alterations and provides accountability for administrative actions.

TECHNICAL IMPLEMENTATION

Session authentication coupled with database-level audit logs tracking every manual punch adjustment, shift override, and export.

Practical Value: Audit-ready compliance and transparent workforce governance.

Web-Based Employee Self-Service (ESS) Portal

CAPABILITY

Mobile-responsive browser portal for individual attendance inspection and leave requests.

PROBLEM ADDRESSED

Reduces administrative HR burden regarding timesheet inquiries.

TECHNICAL IMPLEMENTATION

Clean, responsive browser interface accessible from smartphones and desktop computers.

Practical Value: Empowers employees with direct visibility into logged punches and leave status without physical paper slips.
Scope: Web browser access on company intranet or secure VPN.

Cloud Licensing with Offline Grace Protection

CAPABILITY

Hybrid licensing model that validates subscription status while preserving local server autonomy.

PROBLEM ADDRESSED

Prevents operational stoppages during network and internet outages.

TECHNICAL IMPLEMENTATION

Cloud licensing heartbeat validation with an integrated local offline grace buffer.

Practical Value: Attendance recording and terminal sync continue uninterrupted even if the internet connection is disrupted.
Scope: Periodic WAN internet connection for license refresh.
DELIVERY & OUTCOMES

Deployment Model & Design Goals & Outcomes

DEPLOYMENT ARCHITECTURE

Single-server on-premise installation via a guided Windows installer package.

The installer deploys PostgreSQL, configures the FastAPI service daemon, binds the gateway listening ports, applies DPAPI encryption, and seeds initial system tables.

TESTING & RELIABILITY

Validated across multi-terminal concurrent push loads, network disconnection simulations (offline terminal buffering and automatic sync on reconnect), and cross-midnight shift test suites.

DESIGN GOALS & OUTCOMES
Replaced manual flash-drive extractions with instant biometric push logging over LAN/WAN.
Automated punch-pair calculations and grace rules to streamline shift reconciliation.
Maintained on-premise attendance record custody in local PostgreSQL with licensing-only cloud verification.
Delivered continuous attendance recording resilient against WAN disruptions via local buffer sync.
NEXT ROADMAP MILESTONE

Ongoing engineering of native PRESENCE Connect mobile companion application (iOS & Android) and optional, opt-in multi-branch cloud aggregation.
